AI invoice capture for QuickBooks: Dext-style tools or custom?

How AI invoice capture for QuickBooks works, when a tool like Dext, Hubdoc or Bill fits, and when custom AI invoice processing with PO matching pays off.

By Simple To Work ·

If someone on your team types vendor invoices into QuickBooks from PDFs, AI can now do most of that typing. The question is whether a ready-made capture tool is enough or whether you need something built around your purchasing process. Here is how to tell.

What AI invoice capture does

  • Collects invoices from a shared inbox, uploads or a scanner, so nothing lives in someone’s personal email.
  • Reads them: vendor, invoice number, dates, line items, tax and totals, from any layout, without a template per vendor.
  • Codes them: suggests the vendor, expense account, class or location, usually by learning from how past bills were coded.
  • Posts a bill to QuickBooks with the original PDF attached, after someone approves it.
  • Catches problems: duplicates, totals that do not add up, prices that differ from the purchase order.

Ready-made tools

Dext, Hubdoc and QuickBooks’ own receipt capture read receipts and invoices and publish them to QuickBooks. Bill (formerly Bill.com) adds approvals and vendor payments on top. They are quick to set up, priced monthly by plan or document volume, and a good fit when you mainly need receipts and simple bills captured and coded.

If one of them covers your process, start there. It will be cheaper than building.

When custom AI invoice processing pays off

  • You match invoices to purchase orders. Checking each line against the PO and what was received (three-way match) is where capture tools are thinnest and where AP spends the most time.
  • Your invoices are messy. Multi-page invoices, many line items, freight and surcharges split oddly, or several invoices in one PDF.
  • Approvals follow your rules, like by amount, department, job or project, and the tool’s approval flow does not fit.
  • Volume makes per-document fees add up, or several tools are stitched together to get one job done.
  • Other documents need the same treatment, such as packing slips, bills of lading or statements.

Typical custom ranges

For a professional US team:

  • $15,000 to $30,000: an inbox that collects invoices, AI that reads and codes them, an approval queue, and draft bills in QuickBooks with the PDF attached, plus duplicate detection.
  • $30,000 to $60,000: add PO and receipt matching with differences flagged, approvals by amount or department, several companies or locations, or NetSuite alongside QuickBooks.
  • Running it: AI usage is usually a few cents per invoice, plus hosting of tens to a few hundred dollars a month. Support and tuning are extra.

Note that purchase orders in QuickBooks Online need the Plus or Advanced plan, so PO matching depends on where your POs live.

How to keep it accurate

  • Test on your own invoices first. Accuracy depends on your vendors’ documents, so measure it on a few hundred real invoices before go-live.
  • Keep a person in the loop. Low-confidence fields and every mismatch go to someone to approve; clean invoices can go straight through once you trust it.
  • Keep the trail. Store what the AI read, what it suggested, and who approved what, with every bill.
